Creating events and series
Create practices, games and other events with the wizard, plan series, and edit, cancel or reactivate events.
As a coach or supervisor you can create events for your team in a few steps – one at a time or as a recurring series. Players then see the event under Events and can accept or decline.
Who can create events?
By default, coaches and supervisors create events. Players can’t. Whoever creates an event automatically becomes an organiser and can later edit, cancel or delete it. The available permissions are explained in Roles and permissions.
Creating an event
- Open the Events tab and tap + in the bottom right → Create event. Alternatively, open your team and tap + → Create event.
- Choose group: pick the team (skipped if you start from within the team).
- Event type: choose Training, Game or Event.
- Subgroups: if your team has subgroups or birth years, choose All members or narrow it down. Subgroups and birth years are combined – only members who match both remain.
- Participants: choose at least one organiser under Organizers and pick the participants. All and None select whole sections such as Players or Coaches & staff.
- Recurrence: only for practices and other events – see below.
- Details: fill in the details and tap Create.
| Type | Used for |
|---|---|
| Training | Regular practice with your team |
| Game | A game against one or more opponents. The Tournament switch marks a game as a tournament. |
| Event | Anything else, e.g. a team night or a meeting |
The details
- Name of the event (required) and Description (optional) – links in the description can be tapped later.
- Opponents and Home / Away – games only.
- Start and End (required). The end must be after the start.
- Meeting time: how long before the start everyone should meet (up to 4 hours).
- Location: search, recently used or saved places, or free text.
Under Advanced settings you decide how people reply:
| Setting | Default | What it does |
|---|---|---|
| Default participation status | Attending | With Attending, everyone counts as going until they decline. With Pending, everyone has to reply. |
| "Unsure" as an answer | off | Also allows “Maybe” as a reply. |
| Require reason on decline | on | Anyone declining has to give a reason. |
| Reasons visible to all | off | Off = only organisers see the reasons. |
| Hide participant list | off | On = participants only see the count. |
| Response deadline | none | How long before the start people can still reply. |
| Reminder | none | When the automatic reminder goes to everyone who hasn’t replied. |
| Maximum participants | none | Only with Pending. Once the event is full, a waitlist is created. |
Anyone with an absence on the event date is declined automatically when the event is created. For practices and games, participants get an invitation by push notification.
Creating a series
- In the Recurrence step, switch on Recurring event.
- Choose Weekly, Every 2 weeks or Every 4 weeks.
- Set Repeat until. The end date is included. The app shows how many events will be created.
Each event in the series is a separate event, and the time stays the same across daylight saving changes. Games use season planning instead of series – see Season planning in the dashboard.
Editing events
- Open the event and tap ⋯ at the top → Edit event.
- Make your changes and save.
- For a series, choose Only this event or All future events (this one and all later ones).
If you changed the date, time or location, Notify participants informs everyone who has accepted. For a date change, Require re-confirmation resets all replies to the default status. You can only change the default status from Pending to Attending, not the other way round.
Cancelling, reactivating, deleting
- Cancel: ⋯ → Cancel event, optionally with a reason. The event stays visible, marked as cancelled. Accepted participants and organisers are notified as long as the event hasn’t started. Cancelled events don’t count in statistics.
- Reactivate: ⋯ → Reactivate event → Reactivate.
- Delete: ⋯ → Delete event. For a series, choose Only this event or All future events. Deleting is permanent and includes all comments.
In the web dashboard
In the dashboard, events live under Calendar (list, month, week and statistics views).
- New → New event opens the editor. At the top you choose Training, Game or Event; on the right, organisers, audience and participants.
- Repeat creates a series (weekly, every 2 or every 4 weeks, Until a date). A series needs at least two events.
- When editing a series the choice is This event only or This and following; when deleting, This one only or All upcoming in series.
- With the mouse you can drag events to another day or time. Cancelling and restoring always apply to a single event.
- For a game that has already started, you can enter the set scores under Result (set scores).
In an event’s side panel you can add or remove people and guests. Changing someone else’s status (e.g. unexcused or late) only works in the app – see Attendance, nominations and guests. How players reply is covered in Accepting and declining events.
