Entering absences

Enter a vacation, an injury or fixed weekdays – VolleyFit declines the affected events for you automatically.

On vacation, injured, or never available on certain weekdays? Then enter an absence. VolleyFit automatically declines every affected event – no need to answer each one yourself.

Entering an absence

  1. Open the menu in the top left and tap Absences.
  2. Tap Sign off (or Sign off now if the list is empty).
  3. Under Reason, pick the type: Vacation, Injured, Other or Recurring.
  4. For Recurring only: select at least one day under Weekdays.
  5. Set the start and end under Period. The app shows how many days (or, for recurring absences, how many trainings) are affected.
  6. Enter a short reason, for example “school trip” or “shift”. This field is required and can be up to 100 characters.
  7. Tap Sign off.

You’ll see a confirmation such as “You’re signed off for 5 days”.

What happens next

  • All upcoming events in the period that you’re invited to are set to Declined – for Recurring only those on the selected weekdays.
  • Events you had already declined stay as they are.
  • Events created later are also declined automatically if they fall within your absence.
  • Your coaches and supervisors get a notification that you’ve entered an absence. For privacy reasons it doesn’t include the type or reason.

Changing, ending or deleting an absence

On the Absences page you’ll see your entries under Active and Planned. Older ones are under Past absences.

  • Edit: tap an entry, change it and tap Save.
  • Back early? For an ongoing absence, tap End early. The end date is then set to today.
  • Not going after all? You can delete a planned absence.

For parents

As a guardian you can also enter absences for your child. The form then shows For whom: choose Me and/or one or more children. A separate absence is created for each person you select.

On the Absences page you can filter with All, Mine or your child’s name. Your child’s entries are labeled “For” followed by their name.

Who can see my absence?

  • Everything (type, period and reason) is visible to you, your guardians and team members with the “View member data” permission – by default coaches and supervisors.
  • Everyone else on the team only sees that you’re away during that period.

For coaches: absences in your team

On the team page, the menu contains Absences. There you’ll see all current and past absences in your team, and can search by name and filter by type.

With the “Edit member data” permission you can also use Add absence to enter an absence on a member’s behalf. Events are then declined as usual. Tap an entry to edit or delete it. The available permissions are explained in Roles and permissions.

In the web dashboard

In the web dashboard, Team → Absences gives you a timeline for the whole season and a list view. Tiles at the top show who is away today, who is injured, and which absences start in the next 7 days.

Use New absence to add absences for one or more people at once. The Note is required and is used as the reason for the automatic declines. Note that the dashboard calls the “Other” type Absent.
